I. CIRCULATING MATERIALS

Items that can be checked out include books and most government documents. You must present your UW-Green Bay ID in order to check out circulation or reserve materials.

II. NON-CIRCULATING MATERIALS

Items that cannot be checked out include periodicals, archival materials, art slides, maps, reference and government reference materials.

III. LOAN PERIODS

For most books and government documents:

  • Undergraduates and Community Members - 28 days
  • Graduate Students - 60 days
  • Faculty/Staff - Semester loans

A due date slip is provided when you check out items. This indicates when the items must be returned to the library.  Please refer to these slips when unsure of the dates your items are due or check your patron record through the web based Cofrin Library Catalog.

IV. FINES AND OVERDUE FEES

If library materials are not returned on time overdue notices will be sent out either by e-mail, campus mail, or U.S. mail the day after the item is due . Upon return of the item, a fine notice is sent out notifying the patron of fines that have accrued. If an item is thirty days past due, the patron is sent a bill for any replacement costs and processing charges. Patrons with fines $5.00 and over will be blocked from further check out privileges. Fine or overdue dispute questions can be directed to staff at the main circulation desk, by phone at (920) 465-2540, or via the web-based Cofrin Library Catalog:

  1. Search under item in question
  2. Select the <Request Item> button
  3. Select <Fine Dispute> from the drop down menu
  4. Fill in the information the system asks
  5. Click on <Submit Request>)

Books:

No overdue fines.
Once an item is 30 days past the due date a $50.00 replacement fee plus $10.00 processing fee is assessed per item.  This amount is reduced to $10 when the item is returned.

Reserves:

2 hour items: $.60 per hour per item, maximum $15 per item.
1 day, 3 day and 28 day items: $2 per day per item, maximum $15.00 per item.
When a reserve item is 14 days past due a $50 replacement fee, $10 processing, and a $15 overdue fine is assessed per item.  The amount is reduced to $15 when the item is returned. 

Overdue recalled items:

$.25 per item per day beginning after the new due date, maximum $9.00 per item
After 30 days past the new due date a $50 replacement fee, $10 processing fee, plus $9 fine is assessed. This is reduced to $19 when the item is returned.

V. DAMAGED ITEMS

Users are responsible for items checked out to them and should make circulation staff aware of any damage before checking out an item.  Users who return library materials damaged will be assessed a repair charge.  If the item cannot be repaired, the user will be responsible for paying the full replacement fee.

VI. RENEWALS

Most 28 day check-outs can be renewed up to two times with the exception of reserve materials. Semester loans may be renewed once. Renewals may be made in person or by telephone (465-2540 or 465-2333).  Users can also place renewals through the Cofrin Library online computer catalog. 

  1. Once in the catalog, click on <Patron Info>. 
  2. Type in your barcode, last name, and click <login>. 
  3. Items you have checked out will display. 
  4. Check the item(s) you want to renew and click on <Renew Items>. 
  5. A new due date will appear and the catalog will automatically be updated.

VII. RECALLS AND HOLDS

Recalls
Items that circulate for 28 days or longer can be recalled after 14 days if another patron requests the item. The requested item automatically receives a new due date and a notice is sent asking for the return of the item. If the item is not returned by the new due date, it is subject to fines (see above "Fines and Overdue Fees - Overdue Recalls").

When the item is returned, the patron who requested the item is notified that the item can be picked up at the circulation desk within 7 days.

Follow these steps to place a recall: 

  1. Search the Cofrin Library Catalog for an item that you want to recall. 
  2. View the Record Display of the item. 
  3. Click the <Request Item> button.   Note-- If you have not previously logged in, the "Login" screen displays.  
  4. Enter your barcode and last name in the provided fields and then click the <OK> button. 
  5. Click the drop-down menu and select "Recall."  Click the <OK> button. 
  6. If you want to place a "Recall" on any copy of the item, click the <Any Copy> button.  If you want to place a "recall" on a specific copy, click the <This Copy> button and select the copy from the drop down menu. 
  7. Enter your barcode in the appropriate field.
  8. Enter any comments that you want the Cofrin Library circulation staff to view in the Comment Text box. 
  9. Enter the number of days after which you will not need the item in the <Not Needed After> box.
  10. Click the <Submit Request> button. 

Holds
A patron can put items on hold at the main circulation desk provided it is not a Reference or Non-Circulating item. Books can be held for 7 days. Periodicals for one day. If not picked up by the last day, items will be re-shelved.

VIII. MISSING ITEMS

If a patron has trouble locating an item, a search card may be filled out for that item at the circulation desk. A member of the circulation staff will search for it within one business day. When the item is found the patron will be notified and the item will be placed on hold at the circulation desk.

IX.  INTERLIBRARY LOAN 

Materials that have been requested from other libraries through our Interlibrary Loan office may be picked up at the circulation desk.  For more information about Interlibrary Loan, consult the ILL web page.

X. UNIVERSAL BORROWING

Universal Borrowing (UB) is a service of the UW-System libraries that allows UW faculty, staff, and students to request materials from other participating UW libraries.  Materials can either be picked up at the holding library or any other specified UB library.  For information on how to place a UB request, visit the Other Libraries, Simultaneous Searching, and Universal Borrowing web page.

*Loan periods apply to all eligible patrons regardless of status.

Lost and Damaged Fees
Fines and fees will be based on the lending library's policies. 

Recalls
Only items held by the home institution can be recalled.  If the item belongs to UW-Green Bay, only UW-Green Bay faculty, staff, or students are able to recall the item.

Renewals
28-day and semester loans can be renewed once if they have not been recalled.

XI.Study Rooms

The library has open access study rooms located throughout the 4th, 5th, and 6th floors.  These rooms cannot be reserved, are open to anyone, and are available on a first-come, first-serve basis.

Application forms for locked study rooms which are located on the 5th and 6th floors of the library can be picked up, filled out, and returned to the Circulation Desk.  Rooms are assigned on a semester by semester basis due to their limited availability.  Priority is given to faculty and graduate students.  The library reserves the right to periodically monitor the rooms and remove library materials that are NOT checked out.  No food, drink, smoking, or loud noise will be tolerated.  Only the person assigned to a room may check out the key for that room.  A valid UW-Green Bay I.D. must be presented each time the key is checked out.  Keys must be returned before the end of each day or fines will result.  
Note: undergraduate applicants must obtain the signature of their faculty advisor.

XII. COMMUNITY PATRONS

Residents of Northeast Wisconsin, 18 and older, may obtain a Cofrin Library borrowing card by providing a photo ID and proof of residency. These free cards are available through the Northeast Wisconsin Educational Resource Alliance (NEW ERA) and can be used at any of the 12 public universities and colleges associated with the consortium (see the complete list of NEW ERA schools). In order to qualify for a NEW ERA card at the Cofrin Library you must be a resident of one of the following counties: Brown, Calumet, Door, Fond du Lac, Kewaunee, Manitowoc, Marinette, Menominee, Oconto, Outagamie, Shawano, Sheboygan.
