Reserves Policy - Print and Multimedia Materials

The Cofrin Library offers instructors the ability to place course materials in a unique library collection called Reserves. By keeping loan durations short and restricting the number of items that can be checked out at one time, availability to students is maximized.
The Reserve collection is made up of:
- Material from Cofrin Library stacks
- Instructor's personal books
- Photocopies of articles, exams, lecture notes, etc. supplied by instructor
- Audio-Visuals including CD's, audio, and video tapes.
Using the collection:
- A UW-Green Bay I.D. is required to check items out of Reserves area. Only 3 items may be checked out at one time to a library user. No renewals are allowed.
- Loan periods are 2 hours, 1, 3, and 28 days.
- Most items may leave the library, except Audio-Visuals (e.g. CD's Records, Cassettes).
- Copiers are available in the area.
- Audio-Visual equipment in the area.
Prior to each semester submit a complete list of materials:
- Fill out both sides of the Reserve Request forms
- Or update a previous list
- Or E-Mail or submit web page form
Responsibility for copyright compliance is up to each instructor and must be done prior to submitting material each semester.

No items will be accepted after the last class day for the semester.
Material preparation:
Books or Audio-Visuals:
- Although we take every measure to protect personal copies, we can not be responsible for their theft or damage.
- Will have barcode labels attached on the item with removable tape.
Photocopies:
- Provide one copy of each reading. This copy will be placed in the print Reserves collection and it will also be scanned and made available through electronic reserves.
Requests are processed in the order they are received. EXPECT DELAYS. Allow several working days for processing in the early weeks of each semester. Please remember that materials are NOT immediately available to students once dropped off.
For the quickest service
- Submit all items at once to avoid reprocessing a course list
- Omit items that are not needed
- Provide accurate descriptions of the items so they reflect what is on your syllabus
Removing materials from Reserves
Items are removed at the end of each semester from the collection. Personal books and photocopies are returned via campus mail or delivered to departmental offices. Space limitations prevent us from keeping your materials indefinitely. In addition, publishers require copyright permission and payment of royalty fees if materials are placed on reserve for extended time periods. Please take a moment to examine your materials and replace copies that show extensive wear and tear with new ones.
We request that you call ahead if you plan to pick up materials in person. This will allow us to more efficiently remove your items from the computer system and have them ready when you arrive.
