Policy Statement Regarding Channel 20 Video Production
In the event any campus organization/department would like to hire Residence Life Channel 20 to produce video content, the following policy applies:
1. Any organization that seeks to utilize Channel 20 production services need to present its request (via email channel20@uwgb.edu, or the Channel 20 Web site) between three and six weeks prior to the event date or due date depending upon the magnitude of the project (exceptions made on a case-by-case basis at the discretion of Channel 20 management).
2. Next the client will be contacted by a representative from Channel 20 to schedule an appointment to discuss the project and fill out our pre-production planning form. If after the pre-production planning session, everything is agreeable to both the client and the Channel 20 representative, the production request will be forwarded to Channel 20 management for final approval and scheduling.
3. Approval of production projects is based on a number of factors and is at the full discretion of Channel 20 management. A project may be referred to Media Services at any time, or may be declined. The criteria used by Channel 20 management includes but is not limited to:
- University status – the client must be affiliated with UW-Green Bay in some way (student, faculty, staff etc.).
- Content – is the content material appropriate for Channel 20 and / or Channel 20 staff to be working on?
- Copyright concerns – are there potential copyright violations that cannot be addressed?
- Project timeline – is the timeline feasible?
- Scheduling – number of current projects that overlap / staffing concerns
- Project scope – is the project too large for Channel 20 to take on, and/or can Channel 20 meet the expectations of the client?
- Value – does the project correspond to the mission of Residence Life, Channel 20, and UW - Green Bay?
4. If approved, a representative from Channel 20 will continue working with the client to complete all pre-production planning and sign off on a final video production agreement. Any/all significant changes to the project occurring post-approval must be approved by Channel 20 management for the project to proceed on schedule.
5. During actual production, the client must meet the requirements that were specified in the production agreement. Any deviation form the plan may result in production challenges that could endanger the project outcome, and will be the responsibility of the client to either remedy or accept the modified outcome. Yet, Channel 20 reserves the right to make modifications in the plan, as needed, to achieve the desired results (every attempt will be made to negotiate these modifications with the client at the time of production).
6. Post-production needs will be addressed according to the pre-production planning form. Any modifications made later will be at the discretion of Channel 20. |
