    Group Spaces

    In addition to providing space within GBShare to individuals, CIT will create space for departments, committees, courses, and other groups to facilitate document sharing.  These group spaces provide an easier way to share files among members of established groups without requiring a particular individual to house documents within their personal GBShare space. 

    After you have logged into GBShare, you will see bookmarks for the four types of group spaces beneath your Home directory in the left panel.  When you click one of these bookmarks, you will see folders for only those group spaces to which you have been granted access.  For example, if you are a member of the Technology Council, you will see that folder under Committees when logged into GBShare. 

    To request a group space, contact the CIT Help Desk at (920) 465-2309.  You must designate an administrator and a backup administrator who will be responsible for the following:

    • Maintaining permissions on all directories and files.
    • Managing documents and deleting documents.
    • Creating Contacts and Groups.
    • Creating tickets.
    • Managing the Trash for the group space.  Only administrators can recover items from the Trash.
    • Monitor the quota allocation for the group space.

    Each group space has its own Trash folder and storage quota that are separate from that of the individuals who have access.

    Group Space Trash Management

    When you or others with access to the group space choose to delete files, the files are not immediately deleted from the server, but are instead moved into the group Trash folder, which is a sub-directory in your main group directory.  (Be aware that the Trash folder is not created until you delete a file.)  When you overwrite a file, the previous file is also moved to your Trash. In case you or someone in your group deletes or overwrites a file by accident, as an administrator, you can move or copy files out of the group Trash to restore them.

    Files in your group Trash folder count against your total group space quota. Therefore, if you need to free up some space in your directory, permanently deleting files from the Trash folder will help.

    Caution:  If you wish to delete files from the Trash for your group space, be careful not to choose the ‘Empty Trash’ command from the Tools menu in the left panel.  This will purge all files stored in your personal Trash folder.

    To restore a deleted file from the Trash:

    1. Click the Trash folder located in your group directory listing.
    2. Displayed is the list of files that have been previously deleted. Find the file, files, or directory you wish to restore. Check the checkbox to the direct left of the item to be restored.
    3. Click the Move button from the Navigation Toolbar.
    4. Enter the destination directory to where you wish to restore your file, files, or directory. Removing "/trash" from the default destination path restores the item to your group directory.
    5. Click OK to restore your data.

    To permanently delete a file(s) within your Trash folder:

    1. Navigate to the Trash folder in your "Group Directory." (Do not click on "Empty Trash" on the "Tools" menu.)
    2. Check the box to the left of the file(s) that you would like to delete.
    3. Click on the Delete icondelete in the top tool bar.
    4. You will be presented with a Confirm Delete Screen. Verify that the item(s) to be deleted are correct and click on OK.

    To permanently delete all files within your Trash folder:

    1. Navigate to the Trash folder in your "Group Directory." (Do not click on "Empty Trash" on the "Tools" menu.)
    2. Click on Choose all in the gray line at the bottom of the directory listing.
    3. Click on the Delete icon deletein the top tool bar.
    4. You will be presented with a "Confirm Delete" screen. Verify that the items to be deleted are correct and click on OK.
