Essential Job Functions:

The Office of Graduate Studies Program Coordinator reports to the Associate Provost for Academic Affairs/Director of Graduate Studies and serves as the primary contact for currently enrolled and potential graduate students. This position ensures that student academic support needs are met by managing student activities from initial interest in the program through graduation.

This position includes the following responsibilities:

  • Respond to inquiries regarding graduate programs.
  • Assist potential students with the application and admission process.
  • Provide advising and career planning services.
  • Monitor students' progress toward degree completion.
  • Counsel prospective and admitted students about degree/academic requirements.
  • Create and implement program branding and marketing initiatives for the Graduate Studies program.
  • Lead student recruitment efforts, including the development of informational and promotional materials.
  • Coordinate the campus graduate assistant assignments and work with academic units regarding staffing needs.
  • Provide staff support to the Graduate Studies Council.
  • Develop operational policies for the Graduate Studies program.
  • Provide administrative support to the Director of Graduate Studies.
Qualifications:

Minimum Qualifications:

  • Bachelor's degree at time of application
  • Experience with and understanding of budgeting
  • Experience with program promotion and marketing, customer service focused programming and continuous improvement
  • Ability to work independently and exercise sound judgement and superior decision-making skills in completing required duties
  • Ability to understand, explain, and enforce complex policies, rules and regulations to faculty, staff and students
  • Strong oral, written, and interpersonal communication skills and the ability to communicate effectively with a diverse constituency that includes students, professional staff, faculty, university administrators, and community members
  • Proficiency in a variety of computer applications including PeopleSoft, Microsoft Word, Access and Excel
  • Ability to access and interpret student records in SIS
  • Highly organized with a strong attention to detail
  • Ability to adjust as necessary to accommodate unique circumstances and changing priorities
Conditions of Appointment:

Position is a full-time academic staff appointment. Official transcripts of the highest degree achieved will be required of finalist(s). A criminal conviction investigation will be conducted on the finalist(s). Special Conditions of Appointment: Occassional evening and/or weekend work and travel may be necessary in order to meet the needs of the unit.
Salary:

Minimum salary of $41,336; the UW System provides an excellent benefits package including participation in the Wisconsin State retirement plan. (Total Compensation Estimator).
