Position Information

Working Title:  Assistant Building Operations Manager

Essential Job Functions

This position reports to the Building Operations Manager in the University Union and is responsible for the day-to-day management of all afternoon/evening programs and services supporting events and functions in the University Union and affiliated areas. The hours of this position are 2 p.m. to 10 p.m. during the academic year, 10 a.m. to 6 p.m. during the summer, and as needed for late night programs and weekend special events.

This position includes the following responsibilities:

  • Coordinate the hiring, training, scheduling, supervising, and evaluating of building and technical services team members.
  • Work with staff, teams, and student governance groups to make changes.
  • Serve as a manager, technician, or team member as workload requires.
  • Assist in managing the authorized reservable campus spaces using EMS Enterprise (scheduling software) and providing appropriate rooms, approvals, staff support, communication, reports, signage, and equipment for a successful event.
  • Serve as an onsite contact and support for clients before and during large and/or complex events.
  • Participate in the University Union event planning and review meetings, and participate in planning meetings with clients for large and/or complex events.
  • Develop and maintain event setup diagrams and room layouts with room diagram software.
  • Assist in supporting the Building Manager with questions on customer and catering setup needs.
  • Develop and maintain thorough records of projects, programs, archives, and processes associated with event planning and support needs.
  • Assist in the update of all event promotional and educational materials and mediums, including usage fees, equipment listing and fees, room features and capacities, and services offered.
  • Assist in event invoicing, charges, and campus space rental procedures, including technical services, overtime labor, signs, and other special fees.
  • Review and recommend changes and improvements in existing policies, processes, programs, position descriptions, and services.
  • Assist with the reservations and event support services annual report, summarizing accomplishments, challenges, and future needs.
  • Participate and represent the University Union on various committees.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree at time of application and 1 year of comparable work experience or 3 years of comparable work experience


PREFERRED QUALIFICATIONS:

  • Experience supervising others
  • Experience with event planning

Conditions of Appointment

The hours of this position are 2 p.m. to 10 p.m. during the academic year, 10 a.m. to 6 p.m. during the summer, and as needed for late night programs and weekend special events.

Position is a full-time Academic Staff appointment.  Official transcripts of the highest degree achieved will be required of finalist(s). A criminal conviction investigation will be conducted on the finalist(s). Salary

Salary range of $33,000-$34,800.
This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
