Printers and Scanners

How do I use the scanner?

There are two scanners available on the third floor of the library. One is one table 4 and one is on table 8. Here are some basic instructions on how to use the equipment.

I want to scan a photo or document and save it as a .PDF file with the options to scan multiple pages into a PDF file. (To save in other formats follow directions #2)…

1. Place the original document on the scanner glass (upper right corner) and close the lid.
2. On the front panel of the scanner, press the “file” button.
3. Select a drive and enter a filename. Users logged in as “library” need to save to the A: drive or the flash drive. Users with a campus account can save to a virtual drive, like the M: or flash disk.
4. Click Save.
5. After saving, the program gives you the option to CONTINUE to scan multiple pages or to click DONE.

I want to scan a photo and modify it in HP PRECISIONSCAN PRO or save it in a format other then PDF…

1. Place the original document on the scanner glass (upper right corner) and close the lid.
2. On the front panel of the scanner, press the “HP SCANNING SOFTWARE” button.
3. If you see the guided steps, select the scanner icon; click New SCAN on the scan menu.
4. The scanned image will appear in the HP Precision-Scan Pro Software. This is the preview image. YOU CAN MAKE CHANGES TO THE PICTURE FROM THE PREVIEW IMAGE.

  • You can select how you would like the image to appear (output type) For example, you can select it to be a black and white image or true color, etc.
  • Select only a certain portion of the image

5. To save the file, choose SAVE AS from the guided steps or from the file menu.

*Note after saving the file, if you care to email it to someone, just open up your email account and attach the file you wish to send.

I want to scan a photo and modify it in Adobe Photoshop…

1. Place the original face down on the scanner glass (upper right corner) and close the lid.
2. Open Adobe Photoshop - either by clicking on the icon on the desktop or by selecting Start > Programs > Adobe Photoshop
3. Once the program is open and running, select File > Import > HP PRECISION SCAN PRO
4. Follow the Scanner Guided Steps
5. At Step 5 in the scanner guided steps select “SAVE AS” which allows you to save in various formats (tif, bmp, jpg, htm, etc.) Choose either jpg or gif for the most file compression for a photo.
6. For additional assistance, use the Adobe Photoshop manual or ask the computer consultant on duty.

I want to scan a photo or document and save it to an HP Share-to-Web enabled web site, for example MyFamily.com

1. Place the original document on the scanner glass (upper right corner) and close the lid.
2. On the front panel of the scanner, press the “HP Scanning Software” button. This will automatically open the scanning software and scan the document.
3. Follow the Guided Steps.
4. Choose HP Share - to - Web
5. Click the “Scan” button and follow the steps in the HP Share - to - Web Wizard
6. You will need to enter the username and password for your site.

Note: This is not a campus web service.

I want to scan a document that I can edit in a word processing program, for example Microsoft Word.

1. Place the original document on the scanner glass (upper right corner) and close the lid.
2. On the front panel of the scanner, press the “OCR Text” button. This will automatically open the scanning software, scan the document and display it in Microsoft Word Program.
3. To save the file, select File > Save As > and enter a drive and location. Users with UWGB computer accounts can save to a network drive (for example your M: drive). Community users must save to a floppy disk or flash drive.
4. To print to the PassPrint station, select File > Print
5. Choose the printer B&W
6. Click OK
7. Enter a username and password (this can be anything you want).
8. Go to the PassPrint Station in the computer area on the third floor
9. Swipe your campus ID card or guest courtesy card. Select the username you entered in step 7. Type the password you entered in step 7. Your document should now start printing.

If you have any questions or problems while using the scanners, please ask the computer consultant or a reference librarian for assistance.

How do I use the printers?

There are two black and white printers ($.07/page) and one color printer ($.30/page) located on the third floor of the library. In order to print, you will need either a campus ID or a guest card. Guest cards are available for purchase on the third floor of the library at the VTS machine (black box on the wall between the photocopiers). There are detailed instructions near the VTS machine explaining how to purchase a card.

To print to the PassPrint station in the library:

  • Click on the print icon in the program you are using.
  • Wait for the print window to appear.
  • Select the pages you wish to print. Click OK.
  • Enter a username. This can be anything you want it to be. Click Next.
  • Enter a password. This can be anything you want it to be. (Be sure to remember the password!) Click OK.
  • Go to the PassPrint station on the third floor to retrieve your print job.
  • Swipe your card, with the stripe facing down.
  • Select the print job that has the username you chose. Click Print.
  • Enter the password you gave the print job. Click OK. Your print job should start printing.
  • Print jobs are held in the queue for 3 hours.

If you have any questions or problems with printing or the VTS machine, please ask the computer consultant for assistance. If he/she is not available, please ask one of the staff at the Circulation Desk for assistance. If neither is available, please contact the Help Desk at x2309 (x2019 on weekends).
