Exhibitors

We intend to draw 350-400 decision-makers from school districts all over the country. At most conferences we've hosted, over 75% are superintendents, program directors or principals in their districts/schools. You will have a captive audience!

We have these features just for exhibitors:

  • A special exhibitor open house that will be scheduled at the same time as the pre-conference networking reception.
  • A modified schedule, so that exhibitors will be on-site for Wednesday night and Thursday all day, with a departure time at 2 p.m. on Friday.
  • A great conference location very close to O'Hare International Airport -- easy loading/unloading area.
  • Exhibitors will be located on the same floor as the ballroom... where all attendees will be eating lunch and listening to the keynote speaker. Some breakouts are on the same floor. Your company will have great visibility.

 

Exhibit Hours

  • Setup each day: 7 a.m.
  • Exhibit move in: Anytime after 3 p.m. on November 3.
  • Wednesday night networking and Exhibitor Open House: 6-7 p.m.
  • Thursday: 8:00 a.m. - 5 p.m.
  • Friday: 8:00 a.m. - 2 p.m.

 

Exhibitor Fees

  • $400 (for-profit)
  • $250 (non-profit)

Guidelines:

  • A second or third representative from your company may attend for $100 each.
  • Four or more representatives must register as a participant.
  • Continental breakfasts are included in these fees. Lunches are available for an extra charge.
  • Because exhibitor space is at a premium, non-profit organizations are limited to one table.
  • One draped table is provided for the exhibitor fee.

To become an exhibitor you must register. The secure online site is provided for your convenience. Please select the $400 or $250 Exhibitor option under the Fees drop-down menu. You will be responsible for setting up your own exhibit table.

AV and Power Needs

For exhibitors who need electricity or other technical needs, AV must be arranged directly with hotel services. Note that all tables are 6 feet by 30 inches. Your table will be draped. There is a one-time electricity charge of $45. No charge for electricity setup. Please complete this forms to order the following:

BOX STORAGE AND HANDLING FEES

  • Box Handling Charges for Client: First (5) boxes for shipping/receiving are complimentary. Additional boxes at $5.00 each. Outgoing boxes at $5.00 each for handling. The preceding is regardless of the weight of the box. Pallets are to be charged at $50.00 per pallet.

Below are the charges for the exhibitors and attendees of the hotel:

The hotel provides services for box storage, delivery, shipping & handling, which are available to groups and individuals at an additional charge.  The Crowne Plaza Chicago O'Hare will accept shipments no earlier than five (5) days prior to the arrival day of the event/convention, in this case, no earlier than October 29, 2010.
ABSOLUTELY NO SHIPMENTS WILL BE ACCEPTED BY FREIGHT WITHOUT A LIFT GATE.

Shipping Service Charges:
$10.00 per item for non-hotel guests

Receiving Service Charges:
$5.00 per item 1-20 pounds
$10.00 per item 20-100 pounds
$15.00 per item 100-200 pounds
$100.00 per item 200 pounds and/or all skids

Storage Charges:
The hotel will charge a storage fee for any items left longer than 3 business days of the group’s departure of $5.00 per item, per day.

Take-One Table

There will be a take-one table at this conference. If you are not planning to attend the conference, but would like your materials on the Take-One Table,  a minimum fee of $50 for storage, hauling and display is due prior to the conference

If you would rather pay for this on a credit card, simply give us a call and we will put this on your account. If storage charges exceed $20, we will invoice you for the difference after the conference.

Past conferences enrolled between 300-400 registrants. Exhibitors may ship unused or left-over materials from the hotel if shipping labels and shipping boxes are provided. (Save your boxes.) Unused/leftover materials from the Take-One Table will be discarded. Shipping costs are the responsibility of the exhibitor.
