Working Title:  Travel Coordinator & Accounts Payable and Accounts Payable Specialist
UW System Title:  Financial Specialist II

Essential Job Functions

These positions report to the Assistant Controller. 

Travel Coordinator & Accounts Payable: This position is responsible for performing, under general supervision, audit and approval of payments to individuals, interpretation and enforcement of travel policies, management of the campus's corporate card program with US Bank, and other accounting duties. This position will serve as the primary contact for all travel related items to the UW Green Bay Campus including the use of the TravelWise system, maintenance of the travel reimbursement and travel advance module in Peoplesoft SFS, interpretation of policy, recommendations for compliant travel, and guidance for reimbursement. This position will also process journal entries related to reconciling travel general ledger account. This position has a shared responsibility for support of campus accounts payable. This includes invoice audit and approval and accounts payable support to various departments on campus.

Accounts Payable Specialist: This position is responsible for the accurate and timely Accounts Payable remittance, compliance with related policies and procedures, and information requests as assigned by the Assistant Controller. This position will review past due invoices and compute interest charges if Prompt Pay legislation is applicable, assist with review of open purchase orders, process invoices and maintain documentation for State Project purchase orders. This position is also responsible for the development, implementation, and process enhancement including records organization, transition to electronic payments, and special project work. This position will prepare Accounts Payable Year End reports on an annual basis in accordance with generally accepted accounting principles, process Emergency Grant Requests and Child Care Grant requests in ShopUW+, and review outstanding checks and send out appropriate communications. 

These positions include the following responsibilities: 

  • Serve as our campus liaison with applicable stakeholders 
  • Audit and process invoices in our procurement system, Jaggaer ShopUW+, assuring compliance with related UW-Green Bay, UW System, State, and Federal policies, procedures, rules and regulations 
  • Perform post audit checks after the payment cycle is complete and mail payments to suppliers 
  • Train and assist campus users in ShopUW+
  • Load student refunds, student stipends, and mass voucher payments into Peoplesoft SFS financial software 


  • Associates Degree at time of application or equivalent work experience in Accounting or related field 
  • 2 years of experience with knowledge of accounting and bookkeeping concepts specifically related to accounts payable rules and regulations 
  • Computer proficiency with the ability to use spreadsheet, word processing, and accounting software packages (i.e. Microsoft 365 and/or PeopleSoft)
  • Ability to understand fairly complex oral and written instructions with analysis, problem solving, and decision-making ability
  • Ability to manage a wide variety of office duties, set priorities, and handle multiple tasks while meeting deadlines 
  • Flexibility and willingness to initiate and to learn new systems, processes, and technological applications and implement improvements 

  • Experience working in Jaggaer's ShopUW+ procurement system 
  • Experience working Oracle's Peoplesoft financial software 
  • Experience in a higher education environment

Conditions Of Appointment

Positions are a full-time University Staff appointments.  The work hours for these positions will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Hourly salary of $24.00. 

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

The UW System provides an excellent benefits package to meet the diverse needs of its employees. This includes several health insurance options, with annual deductibles as low as $250/individual and $500/family. Our benefits package also includes dental, vision, several life insurance options, AD&D and Accident insurance and Flexible Spending and Health Savings Accounts. We participate in the Wisconsin Retirement System (WRS), where employer contributions begin immediately and employees are fully vested after 5 years of service. The UW System also provides supplemental retirement savings programs including a 403(b) and Deferred Compensation.

In addition, employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually.
