Position Information

Working Title:  Associate Director of Facilities Management
UW System Title:  Associate Director/Physical Plant (M)

Essential Job Functions

This position reports to the Director of Facilities Management and Planning and is a responsible, managerial, and supervisory position. This position will provide leadership and direction to the supervisors of the HVAC, Maintenance, and Operations departments within the division. This position also supervises two Maintenance Supervisors at the Marinette and Sheboygan branch campuses. The incumbent organizes, evaluates, and manages the daily physical plant operations of assigned campuses and centers in a healthy, safe and secure manner that is consistent with campus academic and student program needs, university policies and standards and all applicable regulatory agency codes. They provide support to the operational supervisors involving employee performance, recruitment, and decision-making.

This position includes the following responsibilities:

  • Acts as liaison with other college departments by communicating maintenance related information in a timely manner to ensure accurate exchange of information.
  • Monitors department budget and process invoices to ensure correct account designations, correct authorizations, fiscal accountability and responsibility.
  • Provide coaching to subordinates to improve job performance. Work with appropriate staff on the adjudication of employee relations matters.
  • Ensures assigned personnel and fiscal resources are managed to achieve their maximum potential for satisfying staff and customer needs and expectations.
  • Responsible for effective and efficient maintenance service to all customers.
  • Effectively coordinate and delegate technical responsibilities making frequent site inspections to monitor progress and workmanship.
  • Evaluate employee training needs, propose and implement appropriate action.
  • Motivate staff by personal example and leadership methods to ensure timely quality services and workmanship to customers.
  • Complete performance reviews, update position descriptions, and perform interviews. Approve all vacations and payroll for subordinates.
  • Effectively enforce all relevant health and safety procedures.
  • Keep up to date on latest methods, materials and equipment maintenance records for safe and efficient operation.
  • Respond to after-hours situations that require services of this department.
  • Work collaboratively with other people at the university and with outside agencies.
  • Utilize TMA software to monitor preventative maintenance and work order status, and work scheduling.
  • Work with Administrative Services Associate and Financial Specialist Senior staff on workflow processes.
  • Schedule and assign Preventative Maintenance work to staff. Check to make sure the work is done correctly.
  • Work to find more economical and efficient methods, procedures, materials, and equipment with the Director and campus staff.
  • Participate in state construction projects that may include oversight, review, or assessment.
  • Ensure that all permits required to operate are up-to-date and have the necessary information for operation.
  • Complete all necessary monthly reports and distribute them to the appropriate agencies and individuals.
  • Monitor the operational budget and work with the Director of Facilities Management when identifying long-range improvements.
  • Participate in campus committees and governance groups.
  • Travel to branch campuses to meet with Facilities staff and support their business needs.


  • Bachelor's degree in Management, Engineering, or related field at time of application
  • 5 years of supervisory experience
  • 5 years of experience in a construction and/or facilities management industry

  • 7 years of supervising technical staff in a maintenance setting .

Conditions Of Appointment

Position is a full-time Academic Staff appointment.  Official transcripts of the highest degree achieved will be required of finalist(s). A criminal conviction investigation will be conducted on the finalist(s). Salary range of $75,000 - $80,000.
This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
