Position Information

Working Title:  Compliance Specialist
UW System Title:  Office Operations Associate 

Essential Job Functions

This position reports to the Assistant Vice Chancellor for Policy & Compliance and provides day-to-day and strategic support for the for the Campus Safety & Risk Management and Compliance Program. This individual will be responsible for independently performing administrative functions critical to the success of these functions in a time-sensitive, fast-paced environment.

This position includes the following responsibilities:

  • Monitor and update UW-Green Bay Records Management Website
  • Coordinate tri-annual records destruction
  • Coordinate and facilitate a periodic records destruction process at the Branch Campuses
  • Maintain receipts and documents associated with records destruction
  • Collaborate with the University Records Manager regarding the review and destruction of specific records or individual department records
  • Act as administrator for the Environmental Health and Safety; Risk Management; Title IX & Clery Act; and University Policy webpages specifically in overseeing maintenance and modification as needed;
  • Coordination with the Assistant Vice-Chancellor of Policy & Compliance and the Environmental Health and Safety Supervisor to provide necessary reports and updating Institutional and System Data basis in the area of Compliance, Youth Programs and Title IX reporting.
  • Serve as a liaison between the functional areas and other operational areas on campus to ensure the receipt of necessary data. Assist with maintenance of these requests and keep all stakeholders abreast of schedules and deadlines.
  • Provide basic office support for the Safety & Risk and Business and Finance areas, including scheduling and facilitating meetings with various stakeholders of the functional areas and staffing meetings as needed to ensure adequate record keeping and communication.
  • Exercise independent judgment in identifying problems and determine if the situation needs to be brought to the attention of stakeholders.
  • Personal delivery of confidential materials to other campus departments.
  • Research sensitive issues.
  • Respond to questions and inquiries from internal and external sources concerning the referenced University functions.
  • Maintaining the budge of the noted functional areas and processing purchase orders and chargebacks.
  • Assist with development of professional PowerPoint presentations for areas within the functional areas. Together with resources in Information Technology and Marketing and Communications, independently seek training to ensure skill level to create and format presentations.

  • Associate's degree at time of application 
  • 3 years experience in office coordination 
  • 3 years experience in completing reports 

  • Bachelor's degree 
  • Direct experience in Compliance or Occupational Health and Safety

Conditions Of Appointment

Position is a full-time University Staff appointment.  The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Hourly salary range of $18.00 - $21.00.

This position will earn an additional $0.60 per hour for all weekend hours worked and an additional $0.45 per hour for all hours worked between 6 p.m. and 6 a.m.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

The UW System provides an excellent benefits package, including participation in the Wisconsin State Retirement System.
