Position Information

Title:  Financial Specialist Senior

Essential Job Functions

This position reports to the Foundation Accountant and performs a variety of administrative activities for fundraising, donor relations and alumni relations. Tasks include data entry, donor correspondence, vendor payments and cash handling. This position requires a high degree of accuracy, attention to detail and confidentiality. This position will handle confidential information that may not be distributed or divulged in any way, except as required by this position. Employee will work with multiple university departments, donors, alumni and vendors.

This position includes the following responsibilities:
  • Receive daily donations for various university departments: cash, check and credit cards.
  • Evaluate, sort and enter donations into University’s database in a timely manner.
  • Analyze donations to determine appropriate campaign, fund and appeal, and select appropriate donor acknowledgment letter.
  • Manage credit card donations including recurring gifts, reconciliations to the bank and refunds.
  • Manage matching gifts by verifying donor, matching gift company, processing gifts and reconciliation of receivables.
  • Reconcile university employee donations through payroll deduction.
  • Post information in Blackbaud Raiser’s Edge and Financial Edge; Prepare bank deposits.
  • Manage and maintain constituent information and records. Ensure constituent records are up-to-date and accurate. Document, track, scan, and save correspondence with alumni, donors, and other constituents.
  • Notify UWGB colleges, academic programs, and departments of new contributions and pledges that have been received. Encourage them to send thank-you notes to the donors of these gifts.
  • Generate gift and deposit records; perform gift adjustments.
  • Prepare timely pledge receivable reports; Coordinate write-off process.
  • Produce gift receipts and donor acknowledgement letters for all donations in a timely and accurate manner.
  • Coordinate periodic updates and revisions to all donor acknowledgement templates.
  • Generate donor pledge invoices and payment reminders.
  • Assist with preparation of year-end giving summaries and fund statements.
  • Assist staff members on running data queries, exports, word-processing lists of names and addresses for mailings, event invitation and RSVP lists, reports, etc.
  • Establish a calendar of weekly, monthly, quarterly, and other reports to be run throughout the year. Distribute these reports to the Vice Chancellor and other appropriate staff members.
  • Enter vendor invoices in Blackbaud Financial Edge.
  • Manage vendor records including updating information and preparing payments to vendors using system generated check stock.
  • Assist Advancement team with planning and execution of events; track payments and attendees.
  • Provide backup support to University Advancement Administrative Assistant; provide excellent donor service.
  • Monitor shared departmental email inboxes; route communications.


  • Associate's degree in Accounting or related field at time of application
  • 2 years of experience working in Accounts Receivable/Payable

  • Experience with Blackbaud Raiser's Edge or Financial Edge
  • Experience in higher education environment
  • Experience in non-profit accounting

Conditions Of Appointment

Position is a full-time University Staff appointment.  The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Competitive salary commensurate with qualifications and experience.

This position will earn an additional $0.60 per hour for all weekend hours worked and an additional $0.45 per hour for all hours worked between 6 p.m. and 6 a.m.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

The UW System provides an excellent benefits package, including participation in the Wisconsin State Retirement System.
