Title:  Financial Specialist Senior

Essential Job Functions

This position reports to the Assistant Controller and is responsible for the monthly reconciliation of all campus controlled bank accounts.  This position will prepare monthly entries and will assist with review, approval and posting of all journal adjustments prepared by campus departmental users.  This position is responsible for financial support functions including paycycle processing, campus cash account audits, review and entry of direct retros, and QuickBooks oversight.

This position includes the following responsibilities:

  • Monthly reconciliation of University Deposit Accounts and Campus Bank Accounts.
  • Reconcile bank deposits and withdrawals to Bursar daily deposit worksheets and general ledger.
  • Reconcile credit card company statements to deposits as recorded on the Bursar records to the bank statement.
  • Maintain record of all NSF bank notices and reconcile to Bursar worksheets for monthly write-offs.
  • Initiate/coordinate with departments corrective entries.
  • Bank accounts include but are not limited to Agency, Federal Funds, Contingent, and off Campus Merchant.
  • Reconcile bank statement deposits and disbursements to campus records.
  • Enter bank account adjustments in conjunction with Bursars office.
  • Review outstanding checks and deposits to determine validity and take action.
  • Monthly review and reconciliation of outstanding checks in ZBA checking account.
  • Review and post all campus journal entries.
  • Provide support to departments in processing charges.
  • Prepare and post monthly reoccurring journal entries.
  • Process daily paycycle to print checks and initiate ACH transmittals.
  • Enter payroll transfers to the general ledger (direct retros).
  • Oversight of QuickBooks software and system maintenance to include new user setup and report maintenance and provide training and expertise to campus users.
  • Review, approve and distribute invoices.
  • Record payments received into QuickBooks in coordination with the Bursar Office.
  • Assist with collection of past due invoices and determine appropriate collection action.
  • Perform cash account audits of campus petty cash and change funds.
  • Perform quarterly off campus work-study billings.
  • Process void and reissue check requests.
  • Process and reconcile outside vendor printing charges.
  • Monitor and order office supplies.
  • Serve as cashier backup support during peak semester times.



  • High School Diploma at time of application
  • 2 years of experience with bank reconciliation procedures and general accounting principles


  • Associates degree in Finance or related field
  • Experience in a higher education environment

Conditions of Appointment

Position is a full-time University Staff appointment.  The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday.  A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. Minimum salary of $18.03

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
