Essential Job Functions

This leadership position reports to the Vice Chancellor of Business and Finance and is responsible for preparing and maintaining accounting and financial reports for the University of Wisconsin Green Bay Foundation. This position works in collaboration with the Vice Chancellor for University Advancement and President of the Foundation, University Advancement staff and the Controller’s office to ensure accurate, reliable and timely processing and reporting of private dollar transactions. This position will be responsible for development and enforcement of sound internal controls, policies and procedures to ensure the financial integrity of all financial areas of the University of Wisconsin Green Bay Foundation. This position interfaces with the Foundation’s Treasurer and Board, outside accounting firm, and various financial institutions. As a member of the campus community for the University of Wisconsin Green Bay it is essential that this position supports and fosters a diverse, inclusive and civil community of faculty, staff and students. The position supervises and directs the work of the Manager of Analytics, Records and Research and the Gifts Coordinator in the Advancement business area.

This position includes the following responsibilities:

  • In a manner consistent with Generally Accepted Accounting Principles, develop, reconcile and maintain an independent accounting system for all gifts, pledges and other assets held within UW Green Bay Foundation.
  • Monitor and analyze financial data, ensuring adequate documentation is maintained when making journal entries and other transactions and produce monthly financial reports. Keep abreast of changes in FASB and IRS rules and regulations that affect the University of Wisconsin Green Bay Foundation (UW Green Bay Foundation), and implement changes as necessary.
  • Ensure compliance with tax and legal reporting requirements with federal and state agencies.
  • Manage and prepare the information needed for annual audit.
  • Assist with the annual endowment spending policy calculations and communicate information to all appropriate university departments and area heads. Understand and execute donor intent and work closely with departments to ensure compliance regarding how funds are spent.
  • Prepare and monitor operating budgets.
  • Perform analysis of financial and statistical data and make recommendations to the Foundation President in preparation of the annual Foundation budget presentation to the Finance Committee and Foundation Board. Prepare underlying financial analysis as well as consistently monitor and report on expenditures against those budgets to the Vice Chancellors.
  • Obtain appropriate approvals for various Foundation expenditures.
  • Develop policies and procedures for Foundation activities.
  • Perform monthly, quarterly and annual reconciliations of the Foundation’s accounts.
  • Reconcile activity in agency and other holding accounts, and prepare related transfer entries.
  • Reconcile expenses paid by the university on behalf of Advancement and prepare related entries.
  • Reconcile activity related to insurance policies owned by the Foundation.
  • Prepare quarterly earnings and fees distribution entries from the UW Foundation.
  • Serve as Foundation liaison to various areas within the University.
  • Support management’s strategic planning efforts through financial forecasting and planning.
  • Provide staff assistance to the UWGB Foundation Finance Committee.
  • Attend UWGB Foundation Board meetings and Finance Committee meetings as directed by the Vice Chancellor for University Advancement and produce minutes as requested.
  • Serve as liaison between brokers/money managers/bank representatives and staff/donors.
  • Prepare quarterly cash plan flow analysis for investment decision making and coordinate other information needs and activities with the investment managers.
  • Prepare fund transfers between Foundation and investment accounts.
  • Supervise and direct the work of the Manager of Analytics, Records and Research and the Gifts ?Coordinator.
  • Maintain technical competence through continuing education and active involvement in professional activities.
  • Attend training seminars and conferences to broaden knowledge in areas related to not for profit accounting.
  • Serve on institutional committees, as appointed or elected.
  • Complete other assignments and special projects as requested by the Vice Chancellor for Business and Finance and Vice Chancellor for University Advancement.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in Accounting or related field
  • Seven years of financial management experience in the accounting field, including experience with fund accounting standards and procedures and a familiarity with investment management principles
  • Demonstrated knowledge of Generally Accepted Accounting Principles (GAAP) and Generally Accepted Auditing Standards (GAAS)
  • Experience working with accounting software systems and strong knowledge of Microsoft Office programs, including superior skills in Microsoft Excel and Word
  • Working knowledge of budget planning and data management


PREFERRED QUALIFICATIONS:

  • Certification as a Certified Public Accountant (CPA) or equivalent
  • Experience in financial operations of non-profit 501(c)3 organizations
  • Knowledge and experience in Blackbaud's software, including Raiser's Edge and/or Financial Edge
  • Knowledge of higher education policies, procedures, regulations, and laws
  • Experience supervising and leading a team of financial specialists and/or other accountants

The successful candidate will have strong oral, written, interpersonal, and organizational skills, the ability to communicate with a diverse community, demonstrated integrity and strong leadership, and the willingness to be part of a collaborative team. The successful candidate will also have the ability to interpret and apply complex rules, contracts, and agreements with internal or external implications; the ability to analyze established processes and recommend improvements; and the ability to maintain strict confidentiality of all donor and financial information. Conditions of Appointment

Some travel is required for necessary meetings, workshops, conferences, etc.  Occasional evening and/or weekend work is expected and will be assigned by supervisor as needed.

Position is a full-time Academic Staff appointment.  Official transcripts of the highest degree achieved will be required of finalist(s). A criminal conviction investigation will be conducted on the finalist(s). Salary

Salary range of $75,000 - $85,000.

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
