Position Information

Working Title:  Front Desk and Mailroom Coordinator
UW System Title:  University Services Program Associate

Essential Job Functions

This position reports to the Associate Director of Residence Life and assists in carrying out the mission and philosophy of the Housing and Residential Education.  Housing and Residential Education provides housing for approximately 2,000 students during the academic year and 2,000 guests during the summer months; and employs approximately 18 fulltime staff and 125 student employees.  Primary responsibilities include, but are not limited to:  a) managing information desk and student mailroom services; b) overseeing building and room access systems; and c) providing administrative services. This position reports to the Associate Director; and assumes additional responsibilities assigned by and makes recommendations to the Associate Director and Director.   

This position includes the following responsibilities:

  • Manage Information Desk and Student Mailroom Services: including overseeing daily opening and closing procedures; supervising student employees; assistance with the Community Service Officers (CSOs) program; assisting guests, visitors, and students; providing back-up reception duties; responding to student complaints; and office management
  • Oversee Building and Room Access Systems: including maintaining proficiency in using and troubleshooting door access systems; moitoring door access cards; ensuring compliance with identity verification; and maintaining a user manual and training for door access systems
  • Provide Administrative Services: including assisting with room administration; assisting with projects; supporting the administration of summer camp and conference operations; coordinating daily deposits; and providing additional assistance to leadership as needed.

Qualifications

MINIMUM QUALIFICATIONS:
  • Associates degree in business or related field at time of application or 3 years of related experience

PREFERRED QUALIFICATIONS:
  • Experience with housing/lodging related software, including Residential Management Systems (RMS), Imaging Software, and Persona card access systems
  • Experience in higher education, housing, or hotel/conference related operations
  • Customer service experience

Conditions Of Appointment

Position is a full-time (100%) University Staff appointment.  The work hours for this position will be 7:45 a.m. - 4:30 p.m., Monday through Friday with occasional evenings, weekends, and holidays.

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Salary

Hourly salary range of $17.00 - $19.00.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
