Position Information

Title:  Human Resources Assistant

Essential Job Functions

This position reports to the Human Resources Manager/AA Officer and performs a variety of payroll, benefits and human resource related activities for UW-Green Bay’s Human Resources Office.  This position will assist with interpreting and applying a wide variety of payroll and benefit rules and regulations affecting the various employee classifications on campus. In addition, this position will provide assistance with records management.

This position includes the following responsibilities:

  • Assist with administering all benefit programs and be knowledgeable about the provisions in the various plans.
  • Research and be knowledgeable of State Statutes, Wisconsin Administrative Codes, labor agreements, rules and regulations and Board of Regent Policies to determine correct interpretation and application to each specific individual being counseled.
  • Counsel employees on benefits options resulting from life changes including marital status changes, birth, death, address changes, and dependent changes.
  • Answer employee questions regarding their various benefit plans.
  • Keep employees informed of changes and enrollment opportunities.  Assist with coordination of ETF, UW-System and TSA vendor visits and presentations.
  • Receive and review insurance forms for accuracy and completeness, calculate premiums, code and enter data HRS system and distribute forms appropriately.
  • Audit all FAASLI personnel action forms, reviewing funding sources, determining appropriate payment codes for lump sum payments, and resolve discrepancies.  Determine when payments will be made.
  • Verify and process monthly FAASLI payroll using payment information from PA forms. Validate the accuracy of payroll data to HRS through the use of various payroll reports and audit and reconcile payroll using the payroll register. Resolve payroll issues such as salary adjustments, FTE changes, garnishments and summer payments. Complete direct retro requests and process off cycle payroll.
  • Set up payouts for unused leave balances upon termination, retirement, and leave of absence.
  • Answer questions related to payroll, leave accounting, and check distribution.
  • Upload files into the HRS system as necessary related to FICA and/or general deductions, being aware of necessary payroll processing timelines.
  • Email electronic earnings statements for employees without portal access and maintain online related reports.
  • Review and facilitate an update to the Records Management webpage.
  • Assist with records management and retention for all HR, payroll, benefits, and other university records.
  • Maintain documents and files through electronic imaging, scanning batches and uploading new documents to files.
  • Update and develop HR related forms and documents related to records management.
  • Create and update workflow documentation for HR processes.


  • High School Diploma at time of application

  • Experience working with an automated timekeeping and HRIS System (Peoplesoft/Oracle preferred)
  • Payroll and Benefit processing experience
  • Experience with Microsoft Office Suite including Outlook, Word, and Excel
  • Analytical and problem solving skills

This position requires the ability to manage multiple deadlines, projects, and priorities with attention to detail and exceptional accuracy; show excellent judgment, including sensitivity to personal and confidential information; and demonstrate flexibility and the ability to adapt to ongoing change. Good work habits, such as attendance, punctuality, accountability, thoroughness, and resourcefulness, are essential for this position.

Conditions Of Appointment

Position is a part-time, approximate 9 month, University Staff Temporary appointment.  The work hours for this position will be between 7:45 a.m. – 4:30 p.m., Monday through Friday.

Minimum salary of $14.00.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
