Position Information

Working Title:  Office Coordinator
UW System Title:  Office Operations Associate

Essential Job Functions

This position reports to the Assistant Vice Chancellor for Policy and Compliance and will provide general administrative and office support for the Division of Business and Finance, including the Budget Office, Risk Management, and Compliance/Policy. This position will be responsible for divisional reporting, including maintaining compliance data and records, coordinating the Facility & Building Content Process, and managing Health & Safety and Risk/Liability reports. This position will also support communication needs for the division, including website update and maintenance and communication development in various mediums.

This position includes the following responsibilities:

  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations, including divisional recruitment support. 
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums. 
  • Prepares and audits complex records, including Compliance and Risk reporting and maintaining budget for related areas. Edits documents and reviews work done by others.
  • Develops, sends, receives, copies, and distributes communications for the Division of Information Technology and Business & Finance to the appropriate entities according to established policies and procedures. Update and manage websites..
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures.

Qualifications

MINIMUM QUALIFICATIONS:
  • Associate's degree at time of application 
  • Computer proficiency with the ability to use specialized software and web-based applications, spreadsheets, and word processing

PREFERRED QUALIFICATIONS:
  • Experience in a higher education environment 
  • Knowledge of university policies and procedures 
  • Knowledge of State of Wisconsin Records Management Guidelines and General Records Schedules for the University of Wisconsin System

Conditions Of Appointment

Position is a full-time University Staff appointment.  The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Salary

Hourly salary range of $18.00 - $19.00.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
