Essential Job Functions

This position reports to the Director of Counseling and Health, and manages the billing, purchasing, and budget processes for the Counseling and Health Center. This position also provides administrative assistance to the director and contracted staff, including maintaining provider contracts. Additionally, this position supports the client check in, triaging, scheduling, and clinical record processes for the Counseling and Health Center. This is a 75%, one-year project appointment. Typical work hours will be Monday through Friday, between 7:45 a.m. and 4:30 p.m., with the majority of scheduled work hours during the academic year.

This position includes the following responsibilities:

  • Manage billing procedures for the collection of all student billing fees.
  • Maintain and implement office policy and procedures related to purchasing and budget.
  • Manage the purchasing process for all clinic and medical supplies.
  • Manage the inventory of women's health products.
  • Manage the immunization inventory.
  • Provide administrative assistance to the director and contracted providers.
  • Serve as Office Manager for the Counseling and Health Center.
  • Provide coordination for clinic scheduling and clinical records.



  • Associate's degree at time of application
  • Three years related experience
  • Billing, purchasing, and budget experience


  • Bachelor's degree
  • Office management experience
  • Knowledge of University policies and procedures
  • Electronic medical record experience

The successful candidate will have exceptional oral, written, interpersonal, organizational, time-management, computer, proofreading, and customer service skills; the ability to communicate with diverse constituents; and the willingness to work independently, as well as part of a collaborative team. This position requires the ability to manage multiple deadlines, projects, and priorities with attention to detail and exceptional accuracy, and demonstrate flexibility and the ability to adapt to ongoing change. This position also requires the ability to exercise excellent judgement and independent decision-making, and to display calm sensitivity while triaging crisis situations, following clinic and campus procedures. All communication is conducted with an emphasis on strict confidentiality of client information and positive customer service. Good work habits, such as attendance, punctuality, accountability, thoroughness, and resourcefulness, are essential for this position.

Conditions of Appointment

Position is a part-time (75%) University Staff one-year project appointment.  Typical work hours will be Monday through Friday, between 7:45 a.m. and 4:30 p.m., with the majority of scheduled work hours during the academic year.

Hourly salary range of $16.00 - $17.50.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
