Position Information

Title:  Student Status Examiner Associate

Essential Job Functions

This position reports to the Assistant Director of Admissions Operations and functions within the context of the Admissions Office team.  This position is a primary reception point for admission applications and undertakes significant responsibility for application processing.  Significant independent decision-making is expected, and the ability to learn, interpret and apply complex admissions policies is essential.  Comfort with complex software systems and technical equipment is also essential.

This position includes the following responsibilities:

  • Image and link electronic applicant files from UW System.
  • Evaluate incoming undergraduate and graduate applications.
  • Enter paper applications manually into SIS.
  • Generate application acknowledgement letter daily for new applicants using SIS and Word mail merge functions.
  • Evaluate application to determine records required to complete admission application; assign appropriate checklist in SIS to accurately reflect missing items.
  • Examine incoming high school and college transcripts.
  • Determine residency status for tuition purposes.
  • Match incoming application documents to existing application files; update SIS checklist.
  • Authorize admission according to established guidelines for re-entry and special students.
  • Maintain and monitor ImageNow workflow queue.
  • Perform daily application completion processes in SIS.
  • Review of final college transcripts to determine successful completion and GPA expectations.
  • Process and acknowledge term requests to change term of admission/changes to majors.
  • Respond to telephone, email, Constituent Relationship Management (CRM) interactions, and in-person inquiries concerning applications and admission status.
  • Interpret rules, regulations, policies, procedures for public and staff.
  • Serve as liaison with internal and external constituents.
  • Perform scheduled review of applications placed on-hold due to a request for follow-up.
  • Review completed applications for admission decision.
  • Coordinate Admissions Review Committee (ARC) discussion materials including admissible applications, analysis and decision recommendations.
  • Record decisions of ARC and communicate with admissions advisors.
  • Oversight and supervisor of student employee(s).



  • Associates degree at time of application
  • 1 year experience in a direct customer services position


  • Bachelor's degree
  • 1 year experience in a direct customer service position in higher education service office or similar customer service capacity
  • Experience with Peoplesoft Student Information System and/or Salesforce/CRM software

The successful candidate will have exceptional oral, written, interpersonal, organizational, time-management, computer, proofreading, and customer service skills; the ability to communicate with diverse constituents; and the willingness to work independently, as well as part of a collaborative team. This position requires the ability to manage multiple deadlines, projects, and priorities with attention to detail and exceptional accuracy; show excellent judgment, including sensitivity to personal and confidential information; and demonstrate flexibility and the ability to adapt to ongoing change. Good work habits, such as attendance, punctuality, accountability, thoroughness, and resourcefulness, are essential for this position.

Conditions of Appointment

Position is a full-time University Staff appointment.  The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Hourly salary range of $15.50 - $17.00.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
