UW System Title:  University Services Program Associate

Essential Job Functions

The University Services Program Associate (USPA) for Dual Enrollment services position reports to the Executive Manager of GEAR UP Services and performs a wide variety of duties and responsibilities requiring a broad, complex skill set. This position serves as the primary program support person for UW-Green Bay dual enrollment services for the Gaining Early Awareness and Readiness for Undergraduate Programs (GEAR UP) in the Division of Continuing Education and Community Engagement. As a liaison with internal and external people, this position interacts with a diverse audience of individuals and organizations by communicating procedural information, assisting educators and students through program processes, and resolving complex problems as they occur. Dual Enrollment program support includes managing student applications and registrations, billing and payment. The USPA will work closely with K-12 and Community Relations program areas to support dual enrollment processes that are offered as GEAR UP services. This position calls for a highly organized, flexible, and self-directed individual with excellent customer service skills.  This position will be responsible for facilitating student resources that support the University's mission and goals regarding equity, diversity, and inclusion. This one-year 100% position is funded through the UW-Green Bay partnership with the state GEAR UP program and may be renewed on an annual basis based upon continuance of funding and satisfactory performance. The GEAR UP grant is a 7 year, renewable grant with funding through 2026.

This position includes the following responsibilities:

  • Use and maintain software for program information, registration, tracking, and reporting.
  • Coordinate and perform registrations and invoicing activities for programs.
  • Create marketing and communication materials and maintain website for programs.
  • Create, maintain, and coordinate promotional materials including mailing arrangements, updating mailing lists, ordering supplies, and communication with external services.
  • Coordinate program operations with other campus departments and external partners.
  • Create and prepare program confirmation letters, directions, and attachments as required.
  • Lead in the hiring, training, and supervising of student employees.
  • Develop, recommend and/or review policies and procedures, and maintain update forms to improve efficiency.
  • Serve as the primary customer service and phone support for program area.


  • Associate's degree at time of application or equivalent combination of education and related experience
  • High level of computer proficiency with the ability to use specialized registration software, databases, spreadsheets and word processing, including Word, Excel and Outlook
  • Possession of or eligibility to obtain a valid driver's license upon appointment and ability to obtain driver authorization through the University

  • Bachelor's degree
  • Experience providing program support

Conditions Of Appointment

Position is a full-time (100%), approximately one-year University Staff project appointment.  The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Hourly salary range of $16.04 - $16.50.
This position will earn an additional $0.60 per hour for all weekend hours worked and an additional $0.45 per hour for all hours worked between 6 p.m. and 6 a.m.
This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

The UW System provides an excellent benefits package, including participation in the Wisconsin State Retirement System.
