Essential Job Functions

This position reports to the Assistant Registrar and collaborates with and supports students, faculty, and staff in the development, implementation, and maintenance of student records and curricular services.

The Coordinator for Athletic Compliance Reporting and Degree Audit Specialist is a member of the Registrar's Office curricular work sub-group with two primary duties. In the role as Coordinator for Athletic Compliance Reporting, this position is the primary certifying authority for athletic eligibility and completes degree audits and evaluations for all student athletes to ensure NCAA compliance regulations are met for eligibility, progress to degree, by-laws, rules, and regulations. This position will enter all NCAA related data into the NCAA database and liaison with Athletic personnel to coordinate the certification/eligibility processing three times a year.

In the role as Degree Audit Specialist, this position will oversee the collaborative review and notification process used by Enrollment Services division personnel to proactively notify students about fulfillment of their degree requirements to graduate, review all candidates for graduation in each semester cycle, and confer degrees and University honors as applicable. This position will consult and receive all substitution transactions for degree completion and assist Registrar staff members on the annual update, review and construction of the degree audit programming entered into the Student Information System.  

What You'll Do

This position includes the following responsibilities:

  • Ensures correct and timely management of student records, course registration, and degree audits within the student information systems.
  • Provides direction to students and staff on a variety of academic processes and policies including graduation requirements, NCAA athletic compliance, academic standing, enrollment, and course change requests.
  • Collaborates with students, academic deans, faculty, Athletic Compliance staff, advisors, and staff to resolve curricular and student record issues.
  • Audits and corrects data to ensure accuracy and completeness.
  • Implements, interprets, and enforces instructional, professional, and legal standards and regulations related to student, curricular, and academic records along with NCAA compliance.
  • Communicates NCAA student athlete eligibility.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree at time of application
  • One year of professional experience related to position responsibilities
  • Strong computer skills including experience working with large, complex database systems
  • Experience using software applications and solving problems that arise with their use
  • Ability to accurately process detailed data-entry work
     

 PREFERRED QUALIFICATIONS:

  • Master's Degree 
  • Two or more years of professional experience in a postsecondary institution
  • Related experience with NCAA eligibility and certification duties
  • Related experience in advising, degree audit preparation, and degree conferral processes with an institution
  • Experience working with student information systems, especially PeopleSoft
  • Experience working with CollegeSource products (TES, Transferology) and Stellic degree audit

Conditions of Appointment

Some travel is required for necessary meetings, workshops, conferences, etc.  Occasional evening and and/or weekend work is expected and will be assigned by supervisor as needed.

Position is a full-time Academic Staff appointment.  This position may have the option to work on-campus or a hybrid schedule subject to approved telecommuting request.  Official transcripts of the highest degree achieved will be required of finalist(s). A criminal conviction investigation will be conducted on the finalist(s). Compensation and Benefits

Minimum salary of $40,000.

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Benefit Details

The UW System provides an excellent benefits package to meet the diverse needs of its employees. This includes several health insurance options, with annual deductibles as low as $250/individual and $500/family. Our benefits package also includes dental, vision, several life insurance options, AD&D and Accident insurance and Flexible Spending and Health Savings Accounts. We participate in the Wisconsin Retirement System (WRS), where employer contributions begin immediately and employees are fully vested after 5 years of service. The UW System also provides supplemental retirement savings programs including a 403(b) and Deferred Compensation.

In addition, employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually. Employees earn 13-27 days of vacation each year, depending on years of service and employment type.
