Registration Process

This process is for new student organizations.  If you are re-registering an existing student org, click here.
 

A registration system called MyOrgs, is used by org officers to keep your registration materials up to date.

You must complete all the registration steps within 2 weeks of starting the process. 
If you do not finish the steps within 2 weeks, the system will force you to begin again.

Please follow this link:  MyOrgs and then login using your usual uwgb username  (without the   “ @uwgb.edu ” part) and password.

You will then click the button that says “Register New Org” in order to start the process.

An org officer will need the uwgb email addresses of at least 1 other org fund officer, and of your advisor.  The system will fill in their names for you.

Then, it will send an email to them.  They need to follow the link in that email, login using their uwgb username and password, and confirm their involvement.  The person who “started” the org will be listed as the “primary contact” (this should be your “president”).  The primary contact can be changed later to any officer who has confirmed their status.

The registration system asks for your org email address.  Please develop a habit of checking this account frequently—at least once a week!  At least two officers should do this.

This account will now be treated as an official form of communication between the university and the organization.

Newly forming orgs will need to leave this box blank.  After becoming fully registered, it will be a week or two before you are provided with an “so” email address and password.

This email box will be an excellent place to store many electronic documents…. meeting minutes, agendas, service project records, attendance records, etc. 

If you find you have need for a greater storage area than this, please shoot an email to landrumj@uwgb.edu. We can arrange to have your org set up with storage space in a D2L environment. 

At least two fund officers will need to view the Org Orientation Video, and pass the quiz, with at least 12 out of 13 correct.  The new system will allow you to “try the ones you missed again”—so that you may put in a different answer.

You will also need a list of all your members’ email addresses, with which to enter your Member List.  You can use the Member List throughout the year to help develop a distribution list for use in communicating with your members, and to generally help keep track of who is in your org.  You will have to “submit” a complete Member List to OSL for the year every year after April 1st.

You will also need a list of your org’s Community Service projects for the year.  Specifically, the description (name) of the project(s), the place, date, and how many students spent how many hours each.  If that number varied, you may make multiple entries on each date or you may enter an average number of hours worked per student.  In the future, you can enter these as the year goes along, then just “submit” them to OSL after April 1st.

There is a spot in the new system to enter another social media address (Facebook/ Twitter/ Other?) if you choose.

There is also the opportunity to enter an org web site address.  

Please email landrumj@uwgb.edu if you’d like to have a web site on a university account, and he will make the arrangements for space to be provided. 

It will be up to someone in your org, however, to build the pages themselves.

Re-Registration Instructions

A registration system called “MyOrgs,” is used by org officers to keep your registration materials up to date, and to re-regisiter all student organizations in April.

You must complete all the registration steps within two weeks of starting it.
If you do not finish the steps by then, the system will force you to begin again.

Please follow this link:  MyOrgs  then login using your usual uwgb username  (without the   “ @uwgb.edu”   part) and password.

This will bring you to the homepage labeled “MyOrgs – Dashboard.”

From here, click on “Begin re-registration” next to the name of your organization.
      See the next page if you need very detailed instructions (most people won’t).

From here on out, each step has a “HELP” screen.  Those help screens are the instructions.  If you want to call the instructions for a page back up, hit the “Help” button on the left hand margin.

Once the above steps are completed and everyone has confirmed their involvement, you should see “Completed” next to each step. When all steps are complete, your organization has successfully re-registered.  If you think you’re finished and your org hasn’t been approved, wait a day or two and then contact Student Life (landrumj@uwgb.edu)

These are the “Very Detailed Instructions”:

  1. Once you log in to MyOrgs, you’ll see listings for all the orgs in which you are currently an officer. Click “Begin Re-Registration” in one of the orgs to start re-registering that org.
  2. The HELP screen tells you that before you can begin, you’ll have to submit two report forms. Click “OK”.
  3. For the Members List Report Form, add in your members by putting in their email addresses in the box  and clicking “insert”.  DO NOT enter FUND OFFICERS here.  When finished with all your members, click “Submit to Student Life”, then click “Confirm Submit Now & Continue”.
  4. The next HELP screen tells you to complete the “Service Activities” Report Form. 
  5. NOTE:  Attending your own meetings and events is NOT community service.  Neither is participating in bake sales or other fund raisers unless all the money raised is donated to someone other than your organization [in that case, list the event as a “Bake Sale to raise money for the ‘Whatever Society’”. Enter each Service Activity.  After each, click “Save Activity”, then you’ll be able to enter the next activity.  When you’ve entered ALL your service activities for 2018-2019, click “Submit to Student Life Now”, then click  “Confirm Submit”.
  6. The next HELP screen tells you that if you are an officer of the organization for this year and next year, from now on you’ll see BOTH versions of the organization in your MyOrgs Dashboard.  Make sure you click the version that you want to work in
  7. You’ll have 2 weeks from starting your registration to finishing it.  If everyone does not complete their part in that 2 weeks, the entire registration process must begin again.  You need to finish by no later than May 1.
  8. Click “OK” to begin the re-registration process. Change anything you wish in the Organization Details and Advisor boxes. Click “Continue” when finished. 
  9. The next HELP screen tells you that the next step is to update your Officers List for next year. Whoever is entering the information is by default a Fund Officer, and the Primary Contact. Besides yourself, you need to enter the email address of at least one other fund officer to proceed. Enter all your Fund Officers for next year, then click “Next”. Next, you will see a screen come up containing our orientation video.   You need to watch it – click the arrow button to play it (about 13 minutes). Now click the button at the bottom to take the quiz.  You need 12 out of 13 to pass. Re-take the questions you miss until you get at least 12 correct.
  10. All the Other fund officers just got sent an email asking them to log into MyOrgs (using their personal UWGB login username and password). They should click “Confirm Participation” for the 2019-2020 version of your org. Then they’ll click “Confirm” again. Next, they will see a screen come up containing our orientation video. They need to watch it – click the arrow button to play it (about 13 minutes). Now click the button at the bottom to take the quiz.  They need 12 out of 13 to pass. Re-take the questions they miss until they get at least 12 correct.
  11. Your org advisor also just got sent an email asking them to log into MyOrgs (using their personal UWGB login username and password). They should click “Confirm Participation” for the 2019-2020 version of your org.  Then click “OK”. Then they’ll click “Confirm” again. Advisors DO NOT need to watch the video or take the quiz
