Good Times Programming Office Manager
Job Description Overview
The Office Manager supports the Good Times Programming (GTP) team and therefore must understand teamwork and group dynamics. They support the programmers, oversee the internal communication of the organization, and work to improve internal organization across the team. They are also expected to assist with programs with the SEC and other campus offices. Displays professionalism and confidence, and possesses organization, problem-solving and leadership skills. The Office Manager reports to the designated supervisor(s) in the Student Engagement Center.
Specific Responsibilities
General Responsibilities of the Office Manager
- Maintain accurate and organized digital and physical files.
- Maintain at least 10 posted office hours per week, excluding Executive Board meetings.
- Help facilitate weekly GTP Executive Board meetings, which will be scheduled around member class schedules, without regard to other work schedules (approximately 1 hour per week).
- Attend mandatory training sessions prior to the start of each semester.
- Serve as a central organizational resource to ensure efficiency within GTP operations.
Specific Responsibilities for the Office Manager (Summer)
- Coordinate GTP fall training with the assistance of Student Engagement supervisor(s).
- Inventory, organize, and prepare office and event supplies for the upcoming year.
- Assess and organize GTP storage spaces to ensure efficiency and supplies needed.
- Assist in developing the GTP Event Coverage Calendar.
- Assist in developing GTP’s role within GB Welcome.
Specific Responsibilities for the Office Manager (Fall/Spring)
- Prepare the agenda for GTP Executive Board meetings and ensure materials are organized in advance.
- Support programmers in ensuring their events are fully prepared, including confirming supplies, materials and logistical needs.
- Assist programmers in the weeks leading up to events to ensure readiness and smooth execution.
- Track, organize, and maintain inventory of event supplies and storage areas.
- Coordinate supply purchasing and restocking as needed.
- Assist the Communications Manager with promotion of events as needed.
- Serve as an operational support resource for all Executive Board members.
- Assist with scheduling, logistics tracking and general event preparation.
- Step in to assist with event setup and takedown when needed.
- Assist with recruitment for Executive Board members in collaboration with supervisor(s).
- 11. Support collaborative campus initiatives such as GB Welcome and Parent & Family Weekend as needed.
- Maintain positive working relationships with University Union staff and student organizations.
- In the event an Executive Board position becomes vacant, assist in maintaining continuity of operations until a replacement is selected.
Qualifications and Salary
All University of Wisconsin-Green Bay Student Life employees must be enrolled for at least 6 undergraduate or 5 graduate credits per semester with a minimum cumulative GPA of 2.5.
Applicants must have completed at least one semester of full-time enrollment at UW-Green Bay.
Successful applicants will possess excellent interpersonal and communication skills (written and verbal), strong decision-making skills, organization and good judgment. A record of co-curricular participation/campus involvement programming experience preferred. Successful applicants will display enthusiasm, a positive attitude, willingness to learn and be a team player.
The Office Manager position requires some evening and weekend hours.
This is an hourly position with a starting wage of $13.00 per hour. $.25 annual raises will be granted dependent upon positive performance evaluations.
If other commitments conflict with Good Times Programming responsibilities, you may be asked to choose between the Good Times position and other commitments.
