Youth Protection
Protecting minors on campus is not just a good idea; it’s a requirement of Wi. Stat. 48.981, The Clery Act and the Universities of Wisconsin Policy 625 Youth Protection and Compliance.
How to Plan a Youth Activity
If you are looking to offer a youth activity the UW-Green Bay Youth Activity Standard Operating Protocols must be followed to ensure all staff and volunteers comply with youth requirements prior to the first day of the activity. These protocols include:
- Register the program with Pre-College Liaison at maines@uwgb.edu
- Reserve facilities as needed
- Identify Health Supervisor and other staff/volunteer roles
- Complete staff/volunteer Criminal Background Checks
- Confirm staff/volunteers have completed the assigned youth protection training within VolunteerMatters portal
- Complete participant registration, including health profile and parent/guardian release
- Confirm supervision ratios are met per the Minor Protection and Adult Leadership Policy
- Implement Operational Requirements described in the Operations Guide
The Campus and Youth Programs office is available to assist you in coordinating your activity. Review the Youth Activity Service Agreement to understand what they can offer.
Operational Requirements During a Youth Activity
During a youth activity, all individuals must adhere to the Operations Guide to be compliant with University policy and other state license requirements. Staff are responsible to:
- Complete check in and check out of all youth participants
- Provide an onsite first aid kit and isolation room
- Document medication dispensing to youth participants
- Report all incidents (behavior, medical and/or Title IX) using the Youth Activity Incident Report Form or Title IX Employee Making a Report
- Follow all prohibited conduct and mandatory reporting protocols
- Follow established emergency and safety protocols, like a tornado warning or lost camper
- Provide non-emergency transportation to a local healthcare facility if needed during daytime sessions
Third-Party Groups & Schools
Third parties who want to hold youth programs to our campus must sign a standard agreement that includes UW-Green Bay policy requirements. If unsure where to start, contact the Pre-College Liaison at maines@uwgb.edu.
Active School District Agreements (.xlsx) list current agreements with local schools who have agreed to assume custodial care of their students whenever they visit our campuses. If you are looking to invite an educational group not on the list, contact the Pre-College Liaison.
Incident Reporting
Report all incidents occurring at a youth activity that are not a mandated reporter event using the Incident Reporting Form and any Title IX incidents using the Employee Making a Report form.
