Student Hire Process

Students and employers should review the Student Employment Handbook to familiarize themselves with policies and procedures concerning on-campus student employment. Student employees must complete certain payroll forms prior to starting work. These include:

  • Form I-9*
  • W-4 Withholding Form
  • Self-Identification Form (disclosing information is optional)
  • Direct Deposit Authorization (Federal Work Study employees may elect to receive payments via prepaid debit card)

*In order to complete Form I-9 the employee must present original documents that establish identity and authorization to work in the United States. Prospective student employees should review the list of acceptable documents from U.S. Citizenship and Immigration Services and bring the material they intend to use to campus.

In most cases, the supervisor will collect payroll forms from new student employees and submit the paperwork to Human Resources & Workforce Diversity for processing. If the position is through an off-campus community service Federal Work Study partnership, the Student Employment Coordinator will contact the student to complete forms after the agency sends notification of an accepted employment offer. All forms must be submitted prior to the student performing work. Late, incomplete or inaccurate paperwork may delay creation of a student appointment and pay.
