Ordering Information: Every attempt will be made by the University to give the Contractor at least ten (10) days’ notice prior to the date of the charter, but the Contractor must accept forty-eight (48) hours’ notice in the case of emergencies or unforeseen circumstances. Contact the contract administrator if the Contractor cannot comply with this requirement.
Late Pick Up Penalty: A late penalty may be assessed against the total value of the trip if the Contractor does not pick up on time as required. If late pick up occurs, please document and forward to Purchasing at purchasing@uwgb.edu

The charge may be waived during periods of severe weather or when conditions, as determined by the contract administrator, indicate the delay was unavoidable. Determination by the contract administrator is final.

- Kobussen has all sized and types of school buses, including handicapped accessible buses. Handicapped accessible buses have limited seating capacity. Please contact Kobussen to confirm the seating capacity. There is no additional charge for handicapped accessible buses.
- Overnight charge of $150/night and UW-Green Bay is responsible for the driver's room.
- All tolls, parking or other miscellaneous charges similar to this will be billed at actual cost.
- All units are two-way radio equipped so we can maintain contact with the bus within range of one of our towers.
- Out of town trips where a group is dropped and the bus returns empty or where the bus travels empty to pick up the group will be charged as live miles.
- Kobussen does not travel between the hours of 1:00 am and 5:00 am, however, there are exceptions to the rule. Please contact Kobussen to confirm.
- Dead head miles will be charged for all trips that originate more than 35 miles from a Kobussen School Bus terminal. See Kobussen.com for locations.
Cancellation charges: There will be no penalty to the University for cancellations made 72 business hours or more in advance of the scheduled charter. Cancellations made between 72 business hours and the scheduled trip are subject to a vendor cancellation fee not to exceed $50.00. If a cancellation fee will be assessed, the dollar amount must be shown on the Itemized Bid List. The department that places the charter will be responsible for any cancellation fees by their failure to cancel within the time frame allowed for no charge cancellations (72 business hours). Kobussen should be notified at once, when a decision has been made to cancel a trip.
